Who we are

Howard Hall is owned by the Durobrivae Lodge Benevolent Fund, a registered charity, which is the data controller responsible for your personal information. You can contact us about your data using our contact form or by post at The Howard Memorial Hall, 72 Woodside, Wigmore, Gillingham, Kent, ME8 0PN.

This page explains, in plain terms, how we handle personal information collected through this website. Our formal Privacy Notice (PDF) should be read alongside this page. It forms part of our wider Data Protection Framework (PDF); the full set of documents is on our Our Rules page.

What information we collect

• When you use our enquiry, cancellation or free-use forms: your name, email address and the details you choose to include in your message.
• When you make a booking enquiry, this is handled through the MyHallWizard booking system embedded on our booking pages (see “Sharing your information” below).
• We use Google Analytics to measure how the website is used (see our Cookie statement). It does not record your name and does not store your full IP address. Some embedded features (the booking calendar and the Google map on our About page) are provided by third parties that may set their own cookies.

How we use it, and our lawful basis

We use your information only to respond to your enquiry, administer your booking, and manage the Hall. We do not use it for marketing and we do not sell it. Our lawful bases under the UK GDPR are your consent when you contact us, the performance of a contract when you make a booking, and our legitimate interests in running the Hall.

Sharing your information

If you use our contact form and choose one of the daytime activities, your name, contact details and message are passed directly to that group’s organiser so that they can reply to you. Those organisers run their groups independently of the Hall, and are responsible for how they handle your details from that point. If you contact the Hall Secretary instead, your message stays with the Hall.

Booking and invoicing are handled by MyHallWizard, which acts as our data processor and holds booking and payment details within its own secure system, governed by its own privacy policy. We also use Google Analytics to understand how the website is used; Google processes that usage data on our behalf as our analytics provider. Otherwise we share your information only where necessary to manage the Hall, or where we are required to do so by law.

How long we keep it

We keep personal information only for as long as necessary for the purpose it was provided, in line with our Data Retention Schedule (available on our Our Rules page), after which it is securely disposed of.

Your rights

You have the right to access, correct, erase, restrict or object to our use of your personal information, to data portability, and to withdraw consent at any time. To exercise any of these, contact us using the details above. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
